Both Calendly and a booking system built into WordPress can fill your diary. They solve different problems, and choosing the wrong one costs time. Here is a practical way to decide.
When Calendly is enough
If you sell your own time, such as consultations, discovery calls or coaching, a scheduling tool is quick, familiar and inexpensive. You connect your calendar, set availability and share a link.
When a WordPress booking system wins
- You sell products that need fitting or collection. Booking and payment should be one transaction.
- Capacity matters. Bays, installers, rooms or vehicles each have limits that a personal calendar cannot model.
- You need custom rules. Closed dates, lead times, instant confirmation on some days and approval on others.
- You want everything on your own domain. No third-party branding, and all data stays in your system.
- You need integrations. CRM, vehicle lookup, invoicing or WhatsApp notifications.
Cost and ownership
A scheduling tool is a monthly subscription. A custom booking system is a one-off build you own, with ongoing hosting and care. Over several years, owning the system is often cheaper and always more flexible.
A real example
For an automotive retailer I built booking inside WooCommerce: customers enter a registration, the site finds their car through the DVSA and DVLA services, shows the right packages, and holds a fitting slot that respects closed dates and lead times. A generic scheduling link could not do any of that.
